TERMS & CONDITIONS

These Terms and Conditions ("Agreement") govern the relationship between Events by Lauren ("we", "our", "us") and the client ("Client", "you") for all sales and services provided by us. By engaging our services, you agree to be bound by these terms. If you do not agree to these terms, you must not engage our services.

1. QUOTATIONS

1.1 Validity of Quotations
Unless otherwise stated, all quotations provided by Events by Lauren are valid for 14 calendar days from the date of issue. After this period, we reserve the right to adjust the prices quoted. Please note that a quotation does not guarantee the availability of any or all hire items, as equipment is hired on a first come, first served basis.

1.2 Accuracy of Information
The quote provided is based on the information supplied by the Client at the time of the booking. It is the Client’s responsibility to ensure that all relevant and accurate information is provided in order to receive a precise quote. If additional or updated information is provided after the quote is issued, Events by Lauren reserves the right to apply additional charges based on the new details.

1.3 Additional Charges
The amount quoted covers hire and services for only the agreed event period. The Client acknowledges and agrees that any additional charges, including but not limited to those for hire loss, hire extension, damages, or repairs will be the responsibility of the Client and must be paid in full as per the terms outlined in this agreement.

1.4 Securing our Services

Please note that several quotations for the same stock items may exist. Therefore, to ensure the availability of your chosen hire items, we recommend confirming your booking as soon as possible. Refer to item 2. Booking and Confirmation.

1.5 Currency and GST
All quotations provided by Events by Lauren are in Australian Dollars (AUD) and include Goods and Services Tax (GST), unless stated otherwise. Any applicable taxes or fees will be outlined in the final invoice.

2. BOOKING AND CONFIRMATION

2.1 Booking Confirmation
To secure your booking with Events by Lauren, either full payment or a deposit is required within 7 days of booking confirmation. To determine the applicable payment structure, please refer to Section 3: Deposits, Payments, and Fees.

Until the payment is received, the booking is not considered confirmed, and availability of items cannot be guaranteed.

3. DEPOSITS, PAYMENTS, AND FEES

3.1 Deposits
For all bookings, a deposit of 25% is required to secure your booking. 

3.2 Final Payment for Bookings Under $1000
For all bookings totalling less than $1000, the remaining balance (75%) is due 14 days prior to your event.

3.3 Final Payment for Bookings Over $1000
For all bookings over $1000, the remaining balance (75%) is due  1 month prior to your event.

3.4 Bookings Confirmed Within 2 Weeks of the Event
For bookings made within 2 weeks of your event date, full payment is required upon booking confirmation to secure the hire items and event services.

3.5 Late Payments
Any late payments will incur an additional fee of 5% of the total amount due per week of delay, up to a maximum of 25% of the total booking cost.

3.6 Payment Enquiries and Remittance Advices
Please send all remittance advice and payment enquiries to events@eventsbylauren.au. When sending payments or inquiries, please ensure you state your invoice number as the reference to help us process your payment promptly.

4. CANCELLATION POLICY

4.1 Cancellation by Client
In the event of a cancellation by the Client, the following cancellation fees apply:

4.1.1  Events under $1000:

More than 30 days before the event: A full refund minus a $50 admin fee will be provided.

Less than 30 days before the event: A minimum of $50 will be forfeited to cover the company’s time, plus any other event expenses already incurred (eg. custom signage).

Less than 2 weeks before the event: A minimum of 25% will be forfeited due to loss of event income + any other event expenses already incurred (eg. custom signage).

Less than 1 week before the event: A minimum of 50% will be forfeited due to loss of event income + any other event expenses already incurred (eg. custom signage). 

4.1.2  Events between $1000 - $2000

More than 30 days before the event: A $100 administration fee will be forfeited plus any other expenses already incurred (eg. custom signage).

Less than 30 days before the event: A $100 fee + $30 for each consecutive week closer to event date to cover loss of event income plus any other expenses already incurred (eg. custom signage).

4.1.3  Events $2000+

More than 60 days before the event: 50% of the deposit will be forfeited plus any other expenses already incurred (eg. custom signage).

Between 60 and 30 days before the event: At the discretion of Events by Lauren plus any other expenses already incurred (eg. custom signage).

Less than 30 days before the event: The full deposit will be forfeited.

4.2 Cancellation by Events by Lauren
In the unlikely event that we need to cancel the services due to circumstances beyond our control, a full refund of any amounts paid will be issued. We are not liable for any additional costs or losses incurred by the Client due to such cancellation.

5. EVENT CHANGES

5.1 Client Request for Changes
Any changes to the event booking must be made in writing at least 14 days prior to the event date. Any additional services or hire items requested may incur additional charges, which will be added to the final balance.

5.2 Change in Event Date

If the Client wishes to change the event date, a request must be made in writing. Events by Lauren will make reasonable efforts to accommodate the new date, subject to availability. A change fee may apply.

6. HIRE OF EQUIPMENT AND PROPERTY

6.1 Property Ownership
All equipment and items provided by Events by Lauren are the property of Events by Lauren and must be returned in the same condition as when delivered, set up, or released to the Client.

6.2 Damage or Loss
All hire items must be returned in the same condition. The Client is responsible for any damage or loss of hire items during the event period. Any repairs or extra cleaning required will be charged at $50 per hour. Replacements will be charged at cost + 20%. The Client agrees to cover the cost of replacement or repair in full including any additional shipping and handling associated. 

6.3 Use of Hire Items
The Client agrees that hire items will only be used for the purpose for which they were hired and in the agreed location as provided. 

6.4 Bond

6.4.1  Requirement of Bond

A bond may be required for certain bookings, determined on a case-by-case basis based on the nature of the event and the items hired. If required, the bond amount will be specified in your final invoice.

6.4.2  Conditions for Refund

The bond will be refunded in full following the event, provided that:

  • All hire items are returned in the same condition as provided.

  • No items are missing or broken.

  • Items do not require excessive cleaning (refer to clause 6.2).

  • All items are available for collection at the agreed time.

6.4.3  Deductions

Events by Lauren reserves the right to deduct costs from the bond for repairs, replacements, or additional labor. If the cost of damage or loss exceeds the bond amount, the Client remains liable for the remaining balance as per Section 6.2.

6.4.4  Notification of Claims

In the event of damage or loss, Events by Lauren will notify the Client in writing (including photographic evidence where applicable) before processing any deductions.

7. EVENT SETUP AND BREAKDOWN

7.1 Setup Time
The setup time will be agreed upon prior to the event, and Events by Lauren will make every reasonable effort to ensure the event styling and setup are completed on time.

7.2 Access to Venue
The Client must ensure that Events by Lauren has access to the venue at the agreed setup time. Failure to do so may result in additional charges.

7.3 Breakdown and Collection
Breakdown and collection of hire items will be scheduled post-event. The Client must ensure that all hired items are available for collection at the agreed time. Failure to do so may incur additional charges.

8. LIABILITY

8.1 Limitation of Liability
Events by Lauren will not be liable for any loss or damage, whether direct or indirect, to the Client or any third parties during the event, unless caused by the negligence or willful misconduct of Events by Lauren.

8.2 Force Majeure

8.2.1   Events by Lauren is not liable for failure to perform any obligation under this Agreement due to circumstances beyond our control, including but not limited to natural disasters, pandemics, acts of government, or other force majeure events.

8.2.2   If a Force Majeure event forces a cancellation or postponement Events by Lauren will provide a 100% credit for a future date (subject to availability) within 12 months or a 50% refund. All deposits are non-transferable.

9. INTELLECTUAL PROPERTY

9.1 Copyright
Events by Lauren retains the copyright to any event designs, photographs, or any other creative materials produced in relation to the event. The Client agrees not to use or reproduce any materials created by Events by Lauren without prior written consent.

10. PRIVACY AND DATA PROTECTION

10.1 Data Collection
By engaging our services, you consent to the collection of personal information necessary for the completion of your event. This may include, but is not limited to, names, contact details, and event requirements.

10.2 Data Usage
We respect your privacy and will use your personal information solely for the purpose of providing event services. We will not share your information with third parties unless required by law or as part of our event operations (e.g., venue or supplier coordination).

11. DISPUTE RESOLUTION

11.1 Resolution Process
Any disputes arising from this Agreement will be resolved through good-faith negotiations. If the dispute cannot be resolved, the matter will be referred to mediation before taking any further legal action.

12. MISCELLANEOUS

12.1 Entire Agreement
This Agreement constitutes the entire understanding between the parties and supersedes all prior agreements or understandings, whether written or oral.

12.2 Amendment
Events by Lauren reserves the right to amend these Terms and Conditions at any time. Any amendments will be effective upon publication on our website or notification to the Client.

12.3 Governing Law

12.3.1   This Agreement shall be governed by and construed in accordance with the laws of the State of Queensland, Australia.

12.3.2   Each party irrevocably submits to the non-exclusive jurisdiction of the courts of Queensland, Australia, and courts of appeal from them, in respect of any disputes arising out of or in connection with this agreement.

By engaging the services of Events by Lauren, you acknowledge and agree to abide by these Terms and Conditions. No signature is required, but your payment or confirmation of booking will indicate your acceptance of these terms.
